Survey report & closing - 12/5/2015

Dear Dubliners, 

Thank you for taking the survey! We closed this phase of the survey this morning and generated following 2 reports around 11 am at the presence of 4 fellow residents: Margaret Liang, Bill Carey, Sattiamoorthy Dessingou and Raju Venkatramana.

We got 405 responses to the survey!

The purpose of the survey is purely to collect public opinion over online. Its up to public to interpret the survey results, decide its significance and decide on how to use it.

We respect our leaders and lot of them are volunteering. The survey is focused on issues and public to rate their performance in the public job. Any comment made by any survey respondent is meant to focus on their public aspects (no comment on personal aspects of our leaders.

While the survey is not completely random sample and limited to online medium, we reached out to as many fellow residents as possible through many avenues (3 community FB groups, OneDublin.org FB page, Email campaigns, Nextdoor campaigns, etc).

Here is the declaration from the Survey team (2 member team - Ganesan Ramu and Bhaskar Tetali) about the process:
  1. Survey has been conducted in a fair way and focused on city & school district wide topics and our elected and appointed leaders. 
  2. If anyone likes to login to view the report directly on the survey monkey website, they can do so (please send a mail to dublinpublicsurvey@gmail.com) within next 2 weeks to meet over the weekends.
  3. Only one person in the survey team (Ganesan Ramu) has ever had and will have access to individual responses to keep the confidentiality.
  4. The individual survey responses will be deleted in about 3 weeks and no electronic or print copy of those will ever be maintained (to ensure highest level of confidentiality of survey respondents). Only volunteering preference information from the respondents will be saved for long term and future communication.
  5. Up to 10 residents and/or reporters (local or public media) can request to audit the survey (who brings 1 witness who is a Dublin resident) and see individual responses of 10 responses selected in random way. This audit will be approved only if the requestor and witness signs a notarized declaration to maintain the confidentiality and not reveal personal info of survey respondents and not record the individual responses during the audit.

Survey update - 11/30 - 200 mark crossed

We have 206 responses so far!

Great progress for a week day! Expecting more to come through this evening.

The survey is expected to be closed in 2 days (Wednesday, 12/2), but if we get 20+ responses on each of next 2 days, we will likely extend the survey closure till Saturday morning (12/5).

Survey update - 11/29 (update 2)

We have received 165 responses so far (from 110 this morning).

Survey invite is sent to little over 700 Dubliners. We are getting requests for the survey invite from other Dubliners very actively.

We have received 110 responses so far and continue to receive more responses.

Our target is to reach 200-300 responses by the close of the survey in 2-3 days.

Dear Dubliner (Dublin, CA),

We're conducting a survey and your input is very appreciated.

FAQ (Frequently Asked Questions):

1. What is the purpose of the survey?

Its about capturing the pulse & view points of our community and voice together on key topics related to our city and school district… Its an opportunity for residents to give approval / rejection rating of city’s direction, our leaders’ performance and identify key topics & preference for the community. Any difference in view points among us need to be captured as part of the survey & its integral part of the survey process. On that note, we request all residents (including elected and aspiring leaders in their capacity of Dublin residents) to take the survey.

Any further steps in voicing the opinion and discuss/act is up to the public. Any action needs broad public support.

While we all get graded in our offices (and the kids in their schools) frequently, its an opportunity to give feedback and rating to our leaders on their performance instead of waiting for 4 year cycle during the election.


2. How long the survey is expected to be open?

The survey has been open for past 10 days and this phase of the survey is expect to be closed this week (target - Wednesday, 12/2; and has small possibility to extend till Saturday noon, 12/5). The survey report should be available within 3-5 days following the survey closure.


3. Who is conducting & endorsing the survey?

Two Dubliners (Ganesan Ramu & Bhaskar Tetali) are leading the survey. The survey is endorsed by broader set of residents across the town (Central, East and West). This 2-member team is responsible for the survey process (ensure that it is done in most neutral way), publish the final report to the public & media and ensure confidentiality. The respondents info stays confidential and responses are quoted only if a survey participant granted permission to a related question in the survey.


4. Why is the survey not open in Internet such that any person can take the survey without providing the email address?

The only reason to ask for email address (to send survey invitation) is that there is good level of checks & balances (one response per email address and also have a reasonable way to check if the respondent live in Dublin). This personal info will be confidential and won’t be part of the final survey report.


5. What is the privacy policy?

The respondents info will be visible to survey team only and they have committed not to release the info and committed to use the email list only about community wide neutral surveys. If the respondent opts-in for volunteering opportunities, communication over volunteering (typically maximum one per month) opportunities at community level will be sent.

Survey team commits to delete the individual responses from this survey within 2 weeks of closing the survey.


6. How the Survey report will be used?

The survey report (without details on survey respondents) will be made available to public and our leaders or them to understand the communities’ view and factor into their decisions process and action.

Few residents & Media (up to 5 people) will have access to the survey data, and they will have option to audit the survey (directly on Survey Moneky site to see the overall responses and email list, but not see individual responses in order to maintain confidentiality).
